How do I keep Intranet content updated & relevant?

Keep your intranet effective by reviewing top content regularly, using expiration dates, writing clear titles and descriptions, and organizing by topic or audience.

To make sure employees can rely on your intranet, focus on clarity, timeliness, and discoverability:

✅ Regularly review high-traffic content

Use the “Most Viewed” and item-level stats to identify your most accessed documents. Check these at least once a quarter to ensure the content is still accurate and current.

🗓️ Set review reminders for seasonal or time-sensitive documents

Use optional expiration dates when uploading documents that change regularly (e.g. benefits guides, seasonal schedules). When the item expires, it will automatically be hidden from employees.

🏷️ Use clear names and searchable descriptions

Keep document names short and specific. Use the description field to summarize what's inside — and include keywords employees might use when searching (like "schedule" or "holiday").

📁 Organize by purpose or audience

Group items by categories that make sense to your team (e.g. "Pay & Benefits," "New Hire Resources," "Location-Specific Updates") so employees can navigate easily, even without using search.
