How funding rewards points works and how to manage your Rewards balance

Rewards points are fulfilled through Tremendous, goHappy's reward fulfillment partner. Before employees can redeem points for gift cards, payments, or donations, your Tremendous account needs to be funded. This article explains how billing works, what the Billing page shows, and how to keep your program running smoothly.

 Where to Find Billing

How Funding Works

goHappy only debits your Tremendous balance when an employee actually redeems their points — not when points are awarded. This means:

- Points can be earned and accumulated without any money leaving your account
- Your balance is only reduced when an employee chooses to redeem
- If you cancel your program, Tremendous returns any remaining balance

This is an important distinction: awarding points costs nothing — redemption is when funds are used.
 

What Is the Unredeemed Balance?


The Billing page shows your Unredeemed Balance — the total dollar value of points employees have earned but not yet cashed in.

Example: If the Unredeemed Balance shows $4,945.00 (494,500 Epic Stars), that means employees collectively have $4,945.00 worth of points sitting in their accounts that they could redeem at any time.

This number is for your awareness — it helps you understand your potential liability and make sure your funding is sufficient to cover it.
 

Funding Methods

Tremendous offers three ways to fund your account:
Credit Card
Bank Account / ACH 
Invoice - Upon payment receipt

Invoice Billing
Customers on invoice billing have a credit limit set by Tremendous. The Billing page will show:
- Your total Unredeemed Balance
- Your remaining available credit
- Your total credit limit

Rewards are billed to your Tremendous invoice account rather than deducted from a prepaid balance.

Prepaid Billing (Credit Card or ACH)
Customers on prepaid billing fund their account in advance. Your Tremendous balance must have sufficient funds before employees can redeem. The Billing page allows you to add funds and configure auto top-up.

 
Auto Top-Up

To keep your program running without manually monitoring your balance, goHappy offers an auto top-up feature.

How it works:
1. Set a minimum balance threshold — the dollar amount at which auto top-up triggers
2. Set a reload amount — how much to add to your balance when it hits the threshold
3. Whenever your balance drops below the threshold, your account is automatically recharged by the reload amount

💡 Example: Set threshold to $500 and reload amount to $2,000. Whenever your balance drops below $500, your account is automatically topped up by $2,000.

This approach lets you keep a smaller balance at all times — minimizing how much cash sits idle — while ensuring employees can always redeem.

Low Balance Alerts

You can set up email notifications to alert you when your Tremendous balance drops below a certain amount.
 
To set up a low balance alert:
1. Go to Billing in the Rewards left navigation
2. Set your desired threshold amount
3. Click Enable Notifications
4. You'll be taken to your Notification Preferences page where you can confirm and add additional recipients

Multiple people can receive low balance alerts — for example, both your HR Generalist and VP of HR can be subscribed to the same alert.

 

Frequently Asked Questions


1. Do I need to fund my account before employees can earn points?
No. Employees can earn and accumulate points regardless of your balance. Funding is only required when an employee tries to redeem their points.

2. What happens if an employee tries to redeem when the balance is $0?
They will see a message indicating redemption is temporarily unavailable. They will not lose their points — they can redeem once the balance is funded.
 
3. Can I get a Rewards refund if I cancel?
Yes. Tremendous will return any remaining prepaid balance if you cancel your account.

4. Who should receive low balance alerts?
Anyone responsible for funding the account — typically someone in HR, Finance, or Operations. We recommend at least two people so there's coverage if one is unavailable.

5. Is there a minimum amount I have to fund?
Contact your goHappy Customer Success Manager or Tremendous directly for current minimums, as these may vary by account type.

6. Will employees owe taxes on rewards?
Possibly. Gift cards and cash-equivalent redemptions are often considered taxable income. Your organization is responsible for determining how rewards are treated for tax purposes. goHappy provides a downloadable Redemption History report that includes all employee redemptions and dollar values — most organizations share this with payroll for year-end reporting.
