How to set up Rewards Automation?

Define exactly how and when employees earn points — without any manual effort from your team. Once configured, the system handles everything automatically

Reward Automation can be set up before or after the integration with Tremendous is set up and the rewards can be updated at any time.

You can configure automations to award points with Shout-Outs, birthdays, work anniversaries, or when completing surveys like New Hire or Engagement surveys.

Configuring Shout-Outs

Shout-Outs are organized into Groups to determine who can give points to employees. Each group defines:

- Group Name — an internal label for this group (e.g., "Store Managers," "Regional Leaders")
- Monthly Points to Give Out — how many points a person in this group has available to distribute each month (resets monthly)
- Point Awarding method — choose Fixed or Tiered (see below)
- Group Criteria — which users (point givers) belong to this group

Point Awarding: Fixed vs. Tiered

Fixed
Every Shout-Out from this group awards the same number of points every time. Simple and predictable.
 
Example: Every Shout-Out = 500 points ($5.00)

Tiered
Managers choose from a set of predefined point amounts when giving a Shout-Out. This adds flexibility while keeping giving within set guardrails.
Example: "Good job" = 100 points ($1.00), "Above and beyond" = 500 points ($5.00), "Outstanding" = 1,000 points ($10.00)

To add tiers, click + Add and enter a Name and Value for each tier. The dollar equivalent is shown automatically.

Group Criteria determines who the givers are, which managers or admins belong to this Shout-Out group and therefore have that group's monthly point budget to give out.

Use the AI Criteria Builder or manually add rules using your HRIS fields (e.g., Job Title = Store Manager) to segment the right leader access.
 
💡 Tip: You can create multiple Shout-Out groups with different monthly budgets for different roles. For example, Store Managers might get 25 points/month to give, while District Managers get 100 points/month.
 

Milestones: Birthday & Anniversary


Milestone automations award points to employees automatically on their birthday or work anniversary. The dates are pulled directly from your HRIS/payroll file — no manual tracking required.

Configuring Milestones

Click **Edit** next to Birthday or Anniversary to set:

- Point value — how many points the employee receives on that day
- For Anniversary, you can set different point values for different years of service (e.g., 1 year = 500 points, 3 years = 1,000 points, 5 years = 2,500 points)

💡 Tip: Milestone points are awarded automatically by the system. The "Created By" field in an employee's transaction history will show "System" for these automated awards.
 

Survey: New Hire Survey & Engagement Survey


Survey automations reward employees for completing a goHappy survey. This is a powerful way to drive participation — employees have an incentive to respond, and you get better data.

- New Hire Survey — awards points when a new hire completes their survey
- Engagement Survey — awards points when an employee completes an engagement survey

Survey Criteria

For survey automations, the Criteria Builder determines who the receivers are — which employees are eligible to earn points for completing that survey. Use this to target specific departments, locations, or employee types if needed.

⚠️ Note: This is different from Shout-Out Group Criteria. In Shout-Outs, criteria defines the givers. In Surveys, criteria defines the receivers.

 

Frequently Asked Questions


1. Can I set different anniversary values for different years of service?
Yes. When you edit the Anniversary automation, you can define specific point values for each milestone year (e.g., 1 year, 2 years, 5 years, 10 years).

2. What if a manager runs out of their monthly Shout-Out budget?
Their giving balance resets at the start of each month. An admin can also manually adjust a manager's Available to Give balance at any time from the Point Balances page.

3. Can I have more than one Shout-Out group?
Yes. You can create as many groups as needed to accommodate different roles or departments with different monthly giving budgets.

4. How do I know if an automation fired correctly?
You can check an individual employee's transaction history from the Point Balances page. Each transaction shows the type (e.g., "Birthday," "Received Shout-Out"), the amount, and whether it was created by the System or a specific user.
 
5. What about terminated employees?
Terminated employees lose access at the next HRIS import. If an employee is terminated, they will lose access to their point balance on the next HRIS file sync after their termination date.
